This Privacy Notice explains how EstimateVision ("EstimateVision", "we", "us", or "our") collects, uses, shares, and protects personal data when you use the EstimateVision AI estimating application and related websites (the "Service"). This page is maintained by EstimateVision to answer common privacy questions about the Service.

1. Who we are and our role

EstimateVision is the data controller for the personal data described in this notice. That means we determine why and how your personal data is processed in connection with the Service. If you have questions about this notice, contact us using the details in the "Contact us" section below.

2. Personal data we collect

• Account data: name, email address, business name, and login credentials.
• Estimate content: photos, video, voice notes, project descriptions, customer details, ZIP codes, rate cards, and the estimates and proposals you create.
• Customer records: contact details you enter for your own customers in order to send proposals.
• Support data: messages and attachments you send when contacting support.
• Usage and device data: log data, app interactions, approximate location derived from IP address, device identifiers, and IP address.

Payment card and billing details are collected and processed directly by our payment processor, Stripe (see "How we share data"), and are not stored by EstimateVision.

3. How we use your data and legal bases

• Provide the Service — creating your account, generating estimates, and producing proposals. Legal basis: performance of a contract.
• Security and fraud prevention — protecting accounts and the platform. Legal basis: legitimate interests.
• Product improvement — improving estimate accuracy and the Service. Legal basis: legitimate interests.
• Customer support — responding to your requests. Legal basis: performance of a contract and legitimate interests.
• Marketing — sending product updates where permitted. Legal basis: consent or legitimate interests, and you may opt out at any time.
• Legal compliance — meeting our legal obligations. Legal basis: legal obligation.

4. How we share data

• Service providers / subprocessors — cloud hosting, database, AI processing, analytics, and support tooling that operate the Service on our behalf.
• Payment processor (Stripe) — payments and subscription billing are handled by Stripe, which processes your card and billing details, manages recurring charges, and supports invoicing on our behalf.
• Professional advisers — legal, accounting, and similar advisers where needed.
• Authorities — where required by law or to protect our rights.

We do not sell your personal data.

5. Data retention

We keep personal data for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymise it.

6. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or object to the processing of your personal data, to data portability, and to withdraw consent. You can exercise these rights by contacting us. If you are in the UK or EEA, you also have the right to lodge a complaint with your supervisory authority, and we will respond to requests within one month.

7. International transfers

Your data may be processed in countries other than your own. Where data is transferred out of the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

8. Security

We use appropriate technical and organisational measures, including encryption in transit and access controls, to protect personal data. No method of transmission or storage is completely secure, but we work to protect your information.

9. Cookies

We use essential cookies needed to run the Service and may use analytics cookies to understand usage. You can manage cookie preferences through your browser settings.
